Getting started

What is Asset365?+
Asset365 is a SharePoint Framework (SPFx) Web Part by SPS Viet Nam Technology JSC that provides full asset lifecycle management directly inside Microsoft 365 / SharePoint Online — no external servers or databases required.
What do I need to install Asset365?+
  • A Microsoft 365 subscription with SharePoint Online
  • A SharePoint App Catalog (tenant-level or site-collection-level)
  • Site Owner (or higher) permissions
  • A valid Asset365 license key (request at support@spsvn.com)
How do I install Asset365?+
  1. Download the asset365.sppkg package provided by SPS Vietnam.
  2. Go to your SharePoint Admin Center → More features → Apps → App Catalog.
  3. Upload asset365.sppkg to the Apps for SharePoint library.
  4. Check "Make this solution available to all sites" → click Deploy.
  5. Navigate to your SharePoint site → Edit a page → Add the Asset365 web part.
  6. In web part settings, enter your Site URL and License Key, then save.
  7. Go to Settings → Sync SharePoint Lists to create all required data lists automatically.

License & activation

How do I get a license key?+
Email support@spsvn.com with your company name and Microsoft 365 tenant domain. We will send your trial or purchased license key within 1 business day.
Where do I enter the license key?+
Open the Asset365 web part → click the ⚙ Settings icon (top right) → paste your key into the License Key field → click Activate.
My license key is not working — what should I do?+
  • Make sure you are using the latest version of Asset365 (v1.0.21 or higher).
  • Old FNV-1a format keys are no longer valid — request a new HMAC-SHA256 key from us.
  • Check that your tenant domain matches exactly what was registered with your license.
  • Still not working? Contact support@spsvn.com with your tenant URL.

Configuration & setup

What SharePoint Lists does Asset365 create?+

Asset365 automatically provisions the following lists when you run Settings → Sync SharePoint Lists:

  • AS_Assets — Main asset register
  • AS_AssetCost — TCO cost history
  • AS_AssetCompliance — Compliance & risk records
  • AS_Maintenance — Maintenance & repair tasks
  • AS_Inventory — Inventory transactions
  • AS_Settings — App configuration
Can I use Asset365 on multiple sites?+
Yes. Each site requires its own SharePoint Lists (run Sync on each site). Your license key covers the number of sites specified in your license plan.
How do I switch between Vietnamese and English?+
Click the 🌐 language toggle in the top navigation bar of the web part to switch between Tiếng Việt and English instantly.
How do I enable Dark Mode?+
Asset365 automatically follows your SharePoint site theme. Switch your site to a dark theme in SharePoint settings and Asset365 will update automatically.

Features & usage

How do I add a new asset?+
  1. Go to the Assets page.
  2. Click + Add Asset.
  3. Fill in asset details (name, category, department, purchase date, value, etc.).
  4. Click Save. The asset is immediately available across all modules.
How does QR code scanning work?+
Each asset automatically gets a unique QR code. Print and attach it to the physical asset. Use any QR scanner app (or the built-in camera on mobile) to instantly pull up the asset record in Asset365.
How do I record a maintenance task?+
Go to Maintenance → click + New Task → select the asset, enter the work description, assign to a technician, set the due date → Save. The task status can be updated as work progresses.
How do I track Total Cost of Ownership (TCO)?+
Go to TCO → select an asset → click + Add Cost Entry → enter the cost category, amount, and date. The TCO dashboard automatically aggregates all cost entries into charts and trend analysis.
How do I export data to Excel?+
On any list page (Assets, Maintenance, TCO, etc.), click the ⬇ Export CSV button to download all records as a CSV file compatible with Microsoft Excel.

Troubleshooting

The web part shows a blank page or loading error+
  • Make sure the .sppkg was deployed with "Make available to all sites" checked.
  • Run Settings → Sync SharePoint Lists — required lists may not exist yet.
  • Check that your account has at least Contribute permission on the SharePoint site.
I get a "list does not exist" error+
Go to Settings → Sync SharePoint Lists and click Sync Now. This will create any missing lists automatically.
Cost records fail to save+
Ensure the AS_AssetCost list exists (run Sync if not). If the error mentions a missing column, re-run Sync to update the list schema to the latest version.
I cannot see the Asset365 web part in the web part picker+
The solution may not be deployed tenant-wide. Go to SharePoint Admin Center → Apps → App Catalog → find Asset365 → check "Make this solution available to all sites".
