1. Data Storage & Ownership
Asset365 stores all data exclusively in your own Microsoft 365 / SharePoint Online environment. We do not operate any external servers or databases that store your asset data. You retain full ownership and control of all data at all times.
- Asset records, cost entries, maintenance logs, and compliance data are stored in SharePoint Lists within your tenant.
- No data is transmitted to SPS Viet Nam servers during normal operation.
- Deleting the SharePoint Lists or uninstalling the app permanently removes all associated data from your tenant.
2. Information We Collect
2.1 License Validation
When you activate Asset365, the app performs a local cryptographic validation of your license key. No network request is made to our servers for license verification — validation happens entirely within your browser.
2.2 Contact Information
When you contact us for a trial, purchase, or support, we collect:
- Your name and email address
- Your company name and Microsoft 365 tenant domain
This information is used only to provide your license key and respond to support requests. We do not sell or share this information with third parties.
2.3 Microsoft Graph Permission
Asset365 requests the User.Read Microsoft Graph permission to display the currently signed-in user's name and profile picture within the app. No user data is stored externally.
4. Data Security
Your asset data inherits the full security model of Microsoft 365:
- Data is encrypted in transit (HTTPS/TLS) and at rest by Microsoft.
- Access is controlled by your existing SharePoint permissions and Azure Active Directory.
- Multi-factor authentication (MFA) and Conditional Access policies apply as configured by your tenant administrator.
5. Data Retention
We do not hold your operational data. All data resides in your SharePoint tenant and is subject to your organization's own retention policies. Contact information you provide to us for licensing/support is retained for the duration of your license and deleted upon written request.
6. Your Rights (GDPR / PDPA)
You have the right to:
- Access — request a copy of any personal data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — request deletion of your personal data from our records
- Portability — receive your data in a structured, machine-readable format

7. Children's Privacy
Asset365 is a business application not directed at children under 13. We do not knowingly collect personal data from children.
8. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of Asset365 after changes are posted constitutes acceptance of the updated policy.
